1. Human Resource Assistant

Duty Station: Gambella Zone, Pinuydo Camp

Job Description:

DPO is seeking an experienced Human Resource Assistant to join our mission-driven organization. The HR Assistant will be responsible for the overall recruitment process, maintaining and updating all employee personal files in accordance with the organization’s HR manual.

Duties and Responsibilities:

  • Follow up on recruitment processes, including posting vacancies, receiving, and summarizing applications.
  • Conduct shortlisting and facilitate candidate selection in consultation with the Operation Manager, Program Director, and Finance Manager.
  • Prepare employment minutes and follow up on their approval.
  • Ensure successful candidates fulfill all required HR formalities before issuing employment contracts.
  • Maintain individual personnel files for easy reference.
  • Draft contract agreements and letters on personnel issues, submit for signature.
  • Prepare identity cards and contract agreements.
  • Notify concerned departments of ending contracts and probation periods, request appropriate actions.
  • Ensure all properties of DPO are returned during employee termination.
  • Assist in shortlisting applications and organizing candidate profiles.
  • Organize and deliver orientation to new employees.
  • Handle personnel records, including annual leaves, sick leaves, performance evaluation results.
  • Collect and compile statistical data on personnel matters, release information when required.
  • Distribute and ensure proper completion of employee performance evaluation forms.
  • Assist in updating personnel policies and procedures.
  • Follow up on employee pension document submission and insurance-related issues.
  • Perform any additional activities assigned by the Medical Director.

Qualifications:

  • Education: BA in Human Resource Management, Business Administration, or related field.
  • Experience: Minimum of 2 years for BA, 3 years for Diploma.
  • Skills: Excellent organizational, communication, and interpersonal skills.

2. Logistics Assistant

Duty Station: Gambella Zone, Pinuydo Camp

Job Description:

DPO is seeking an experienced Logistics Assistant to oversee day-to-day fleet management, office management, and general logistics needs related to the Puniydo Regional activities.

Duties and Responsibilities:

  • Receive and inspect all incoming materials, reconcile with purchase orders.
  • Ensure items received meet required standards; manage inventory records.
  • Issue goods following proper store regulations.
  • Maintain updated records of items in store, participate in stock taking.
  • Recommend improvements for inventory management systems.
  • Ensure accuracy of inventories and maintain related documents.
  • Plan and update stock levels and deliveries to project teams.
  • Manage custom clearance and transportation of goods.
  • Monitor logbooks and fuel consumption, compile and submit fleet reports.
  • Maintain vehicle availability, ensure vehicles are checked and maintained.
  • Handle annual vehicle inspections, insurance renewals, and insurance cases.
  • Coordinate and handle vehicle requests and procured goods inspection.
  • Oversee and support administrative duties, manage office supplies inventory.
  • Develop and implement office policies and procedures.
  • Identify opportunities for process improvements, supervise guards and office cleaners.
  • Perform any additional activities assigned by the Medical Director.

Qualifications:

  • Education: Bachelor’s Degree in Business Administration, Logistics Management, or related field.
  • Experience: Minimum of 2 years for BA, 3 years for Diploma.
  • Skills: Strong organizational, communication, and problem-solving skills.
