Organization Background:

JSI is a US-based public health nonprofit organization committed to delivering high-quality technical and managerial assistance programs worldwide. With over 25 years of experience in Ethiopia, JSI has implemented over 60 projects, focusing on improving health outcomes, quality, and equity in access to reproductive, maternal, newborn, child, and adolescent health (RMNCAH) services. JSI has actively contributed to various areas, including primary health care, community health programs, digital health, health information systems (HIS), supply chain management, public health emergency responses, and social and behavior change.

Activity Overview:

The USAID Quality Healthcare Activity (QHA) aims to enhance health outcomes by improving the readiness of health facilities to deliver quality RMNCAH services, enhancing management and accountability for quality service delivery, and restoring services in conflict-affected areas. QHA’s strategies will assist the government of Ethiopia in building responsive, resilient, and sustainable public and private health care systems. The five-year project, funded by USAID, will be implemented by JSI in collaboration with the Institute for Healthcare Improvement (IHI), MSI Reproductive Choices (MSI), Project HOPE, and the Network of Ethiopian Women’s Associations (NEWA) (May 01, 2023 – April 30, 2028).

Position: Admin Assistant/Store Management

Job Summary:

The position holder will be responsible for managing the store management.

Responsibilities:

Asset Management:

  • Assist in coordinating the maintenance of office equipment and furniture at the cluster level.
  • Responsible for consistent tagging of JSI assets immediately after procurement.
  • Conduct bi-annual physical asset verification.
  • Report immediately to the Supervisor any missing, damaged, broken, or spoiled items.
  • Ensure office machines are properly maintained and in operating condition.
  • Assist the region in updating inventories in the office.

Store Management:

  • Ensure monthly physical stock counts are done as scheduled to prevent stock discrepancies and monitor the expiration dates of in-stock supplies.
  • Responsible for receiving procured supplies with waybills and monitoring stock levels of the cluster’s stationery, office supplies, and consumables.
  • Maintain Bin cards and reconcile them with stock records and inventory.
  • Inspect, count, and weigh materials, supplies, and commodities received through purchase or donation.
  • Receive goods against official Goods Receiving Notes (GRN).
  • Check goods against purchase orders, supplier invoices, and/or packing lists, ensuring that the goods are in good condition before receiving them.
  • Keep all materials, supplies, spare parts, commodities, and fixed assets of the organization under custody.
  • Issue materials, supplies, and commodities to requisitioning departments/units upon receipt of duly signed store material requisition.
  • Dispatch all items/commodities against approved official Store Issue Vouchers.
  • Design appropriate storage arrangements in the stores for efficient utilization of available space and allow easy movement of people in the store.
  • Label shelves or racks appropriately, sort goods received by types and classifications, and store them economically and diligently.
  • Ensure the security of materials in the store against damage, theft, deterioration, pilferage, hazards such as dirt, fire, and rain, and maintain a neat and clean store.

About You:

Qualification and Experience:

  • BA Degree in Social Science, preferably business administration, management, accounting, or related fields.
  • Minimum of five years of experience in related fields; experience in NGO work will be an advantage.
  • Strong writing and communication skills in both the regional working language and English.
  • Previous experience in store and logistics management.
  • Skills and experience in computer applications and utilization of Microsoft Office (Word, Excel, and PowerPoint) are mandatory.
  • Working knowledge of modern office equipment.
  • Ability to work with minimum supervision and strong interpersonal skills to promote teamwork.
  • Strong interest and commitment to family planning and maternal and child health services and the eradication of harmful traditional practices.
  • Demonstrable personal integrity and honesty, and a pleasant personality.
