CST Ethiopia is seeking qualified and competent applicants for the following vacant position.

Position: Intern – Office Admin Support

Location: Addis Ababa, Ethiopia

Educational Qualification:

  • Recent graduate from an accredited university in Business Administration, Secretarial Science, Office Management, or Marketing.

Key Responsibilities:

General Office Administration Support:

  • Receive visitors and calls, handle inquiries, direct them to the appropriate persons, and update the visitors’ list tracker.
  • Answer telephones, provide information to callers, take messages, or transfer calls to the appropriate individuals.
  • Maintain scheduling and event calendars, and assist in booking meeting rooms and events.
  • Support the admin assistant and operations team with travel bookings and payment preparations.
  • Set up and maintain paper and electronic filing systems for records, correspondence, and other material.
  • Ensure timely reception and transmission of project correspondence, circulation, and information sharing to staff.
  • Handle incoming and outgoing correspondences, file or replay as required.
  • Assist the operations team with receiving tender documents according to CST standard procedures.
  • Perform photocopying, scanning, and other related activities.
  • Perform other tasks as assigned by the supervisor.

Operations Admin Support:

  • Prepare purchase requests for office operations support and ensure all supporting documents are completed.
  • Collect price quotations, invoices, and cash receipt vouchers from suppliers and vendors, and submit them to finance for payment processing.
  • Collaborate with the Government Liaison & Logistics Coordinator and Head of Operations to understand procurement needs and specifications.
  • Coordinate goods receiving activities to verify the receipt of ordered items.
  • Confirm the quality and quantity of received goods with relevant departments.
  • Communicate with vendors to clarify specifications and resolve issues.
  • Monitor and track the status of open orders with vendors.
  • Ensure timely deliveries by addressing any delays or issues in collaboration with vendors.
  • Ensure all procurement activities adhere to relevant regulations and organizational policies.
  • Support other routine office tasks as assigned by the Head of Operations.
