About the Organization:

VisionFund Micro Finance Institution (S.C) is established under Proclamation No. 40/96 to provide financial services to the productive poor in the rural and urban areas of Ethiopia. VisionFund operates in four Regional States of the country, aiming to support economic development and improve livelihoods.

Position: Receptionist

Education/Training Requirements:

  • Minimum Diploma in Secretarial Science & Office Management or a related field.

Experience:

  • At least 3 years of relevant experience.

Technical and Other Skills:

  • Strong sense of responsibility and high integrity.
  • Excellent communication and articulation skills.
  • Ability to maintain confidential records.
  • Proficiency in Microsoft Office applications.
  • Strong written communication and report writing skills.
  • Ability to work effectively with colleagues at all levels.

Specific Duties and Responsibilities:

  • Handle incoming and outgoing telephone calls.
  • Welcome visitors and direct them to the appropriate staff or department.
  • Receive and distribute incoming letters to the relevant offices or staff.
  • Manage emails sent to info@visionfundmfi.com and forward them to the concerned departments.
  • Forward CVs and applications received via email or in hard copies to the Human Capital Department.
  • Facilitate the receiving and delivery of postage and parcels.
  • Prepare a monthly expense summary and submit it to Finance for payment.
  • Receive and send FAX messages.
  • Prepare monthly attendance sheets and summaries for General Service staff, encoding absentees and late comers into the system daily.
  • Communicate attendance summary results to concerned staff through the HR Department.
  • Provide secretarial support to the General Service unit.
  • Keep records such as DHL monthly reports, attendance summaries, and FAX queries.
  • Safely and properly handle all properties under custody.
  • Collect purchase requests and forward them to the Logistics Department.
  • Perform other related duties as assigned by the supervisor.
