Doctors with Africa CUAMM is seeking qualified and competent candidates to fill the position of Project Admin. There are 1 position available in Debre-Birhan and 1 position in Shire.
Salary: From 30,000 to 38,000 Basic Salary according to experience
Duties and Responsibilities:
Part A:
- Maintaining accounting controls by following internal policies and procedures, complying with state financial legal requirements, and donor/organization guidelines
- Checking, preparing & making payments through cash, cheques, bank transfers
- Keeping detailed documentation of expenses (invoices, receipts…) and financial movements according to National Regulation and Donor and CUAMM Regulation
- Updating the accounting system of the project both in Lotus and in Peachtree
- Ensuring the settlement of monthly Government obligation by the 15th of each month
- Preparing monthly bank, cash & JV reconciliations by the 10th of each subsequent month
- Updating the Operation Plan with the actual expenditures by the end of each subsequent month
- Verifying the scan of all relevant project documents and expenditures justifications and uploading them on drive every month before the 20th
- Supervising petty cash management and conducting regular cash counts
- Managing and ensuring proper filing of both hardcopy and softcopy financial documents
- Providing support to non-finance staff regarding finance procedures
- Receiving and reviewing all financial documents and distributing for approval as per thresholds
- Following up on regular updates of invoice and bank balances on the database
Part B:
- Keeping files of correspondence letters and financial documents
- Updating staff folders and files
- Controlling fuel consumption and ensuring proper maintenance of vehicles, motorbikes, and office generator
- Preparing procurement supporting documents and keeping track of orders, purchases, and deliveries
- Revising and filing all supportive documents according to regulations and requirements
- Assisting the project manager in developing the Procurement Plan and its updates
- Supporting the country administrator and Finance manager as needed
- Preparing all needed financial documents for audit process
- Performing other duties as assigned
- Developing and maintaining a pleasant and conducive working environment with colleagues and line manager
Skills and Educational Background:
- Degree in Accounting and Finance or other related field
- Minimum of 3 years’ relevant experience with humanitarian aid organization (INGO)
- Good accounting skills, experience in Peachtree accounting system is an asset
- Excellent computer skills: Ms Windows, Ms Word, and Excel
- Excellent communication skills in English – spoken and written
- Italian language communication is an asset
