Job Description:

UN Women, committed to the vision of equality in the UN Charter, seeks an Administrative Assistant to support office operations. Reporting to the Operations Manager, the Assistant will handle various administrative processes, ensuring accuracy and high-quality work. The role demands a client-oriented approach and collaboration with program staff and the Operations team.

Duties and Responsibilities:

1. General Administrative Support:

  • Assist in staff travel arrangements, mission planning, and related paperwork.
  • Provide administrative support for conferences, workshops, and retreats.
  • Maintain filing system, staff contact list, and assist in recruitment processes.
  • Support leave management process.

2. Office and Assets Management:

  • Monitor office stationery supplies, maintain asset records, and prepare reports.
  • Manage office premises, utilities, security, and building maintenance.
  • Act as a security focal point, liaising with UNDSS and updating staff on security issues.
  • Provide support on transportation services, including monitoring vehicle administration and maintenance.

3. Knowledge Building and Sharing:

  • Facilitate training for operations/projects staff on administration.
  • Perform other duties assigned by the line manager.

Required Skills and Experience:

  • Bachelor’s degree in Business Administration, Accounting/Finance, or related fields.
  • Minimum of 5 years of progressively responsible experience in administration, procurement, HR, or logistic support services.
  • Experience in using computers and office software packages (MS Word, Excel, etc.).
  • Fluency in English is required.
  • Knowledge of the other UN official working language is an asset.
